Job Description

Main purpose of job:

To assist with the project management of the firm's client facing tool for production and maintenance of key investor information documents (KIIDs) for UCITS funds and to support the firm’s passporting product. The role will provide a shared resource to both projects. The role involves daily contact with clients, translators and other service providers and requires organisational skills together with confident and accurate use of a bespoke online web portal.

Main duties and responsibilities:

  • Dedicated administrative resource for the KIID generation and the fund passporting projects;
  • Using document automation systems to upload, generate, amend and maintain KIIDs;
  • Liaising closely with clients to ensure new KIID requests and KIID amendments are completed in a timely fashion;
  • Liaising with translators to obtain quotes and ensure prompt translations of KIIDs;
  • Coordinating with team members and liaising with local counsel on a regular basis;
  • Developing on-going project management systems to ensure client requirements are met in a prompt manner;
  • Assisting with passporting requests from clients;
  • Compiling notification packs and submitting these to financial regulators;
  • Making regular notifications to financial regulators across Europe; and
  • Updating internal databases with work completed.

  • Able to work effectively as part of a diverse and inclusive team

Education / qualifications / experience:

  • Experience in an administrative capacity required
  • Experience in a time-sensitive and fast-paced working environment preferable

Knowledge and technical skills:

  • Excellent IT skills, including Outlook, Microsoft Word, PowerPoint and Excel

General skills:

  • The ability to work to tight deadlines whilst maintaining a high level of accuracy
  • Detail oriented and comfortable working in a fast-paced office environment
  • It is expected that the candidate will have a highly organised and methodical approach to the role
  • Ability to work effectively and efficiently with large volumes of data
  • The confidence to work independently as well as in a team
  • Commercially astute
